1. Who we are
Needle is an AI email and productivity workspace that helps users process inboxes, summarize threads, prepare drafts, track follow-ups, identify calendar requests, remember relationship context, and flag potential risks before action is taken.

2. Information we collect
We may collect the following categories of information:
- Account information: name, email address, login method, and account settings.
- Workspace information: workspace name, members, roles, preferences, and activity settings.
- Connected account metadata: provider name, connected email address, sync status, authorization status, and account configuration.
- Email data you choose to connect: messages, threads, senders, recipients, subject lines, timestamps, attachments, labels, and related metadata when required to provide Needle features.
- Calendar data you choose to connect: calendar account metadata, events, event times, attendees, availability information, and scheduling context when required for calendar features.
- Product usage data: actions taken in the app, feature usage, error logs, device/browser information, security logs, and diagnostic information.
3. Google user data
If you connect a Google account, Needle accesses only the Google data needed for the features you choose to use. Google sign-in, Gmail connection, and Google Calendar connection are separate authorization flows.
Needle does not sell Google user data. Needle does not use Google user data for advertising. Needle does not transfer Google user data to third parties except as necessary to provide or improve user-facing features, comply with law, prevent abuse, or operate the service securely.
4. How we use information
We use information to provide and improve Needle, including to:
- summarize email threads and inbox activity;
- prepare draft replies for your review and approval;
- detect follow-ups, tasks, promises, deadlines, and waiting items;
- identify calendar requests and scheduling context;
- build relationship context and memory for future drafts;
- flag potential risk, sensitive content, scam signals, or missing information;
- operate workspaces, permissions, billing, security, and support;
- debug, monitor, and improve product reliability.
5. AI processing
Needle may process connected email, calendar, and workspace information with AI systems to generate summaries, drafts, tasks, reminders, relationship context, and risk signals. AI output can be incomplete or inaccurate. You are responsible for reviewing drafts and recommendations before using or sending them.
6. Approval-first sending
Needle is designed around approval-first workflows. Needle should not send emails on your behalf unless you explicitly approve or configure a permitted sending action.
7. How we share information
We do not sell personal data. We may share information with infrastructure, hosting, database, security, analytics, payment, communication, and AI service providers only as needed to operate Needle and provide requested functionality.
We may also disclose information if required by law, to protect users, to prevent fraud or abuse, or to enforce our Terms of Service.
8. Data retention
We retain information for as long as needed to provide Needle, comply with legal obligations, resolve disputes, maintain security, and improve the product. Retention periods may vary depending on account type, workspace settings, connected provider settings, and legal requirements.
9. Account disconnection and deletion
You may disconnect connected email or calendar accounts from Needle. You may also request account or workspace deletion by contacting us. Some records may be retained where required for legal, security, billing, or abuse-prevention purposes.
10. Security
We use technical and organizational safeguards designed to protect information. No online service can guarantee perfect security, but we work to reduce risk through access controls, monitoring, encryption where appropriate, and security-focused product design.
11. International processing
Information may be processed in countries other than where you live. By using Needle, you understand that your information may be processed where Needle or its service providers operate.
12. Children
Needle is not intended for children under 13, and we do not knowingly collect personal information from children under 13.
13. Changes to this policy
We may update this Privacy Policy from time to time. If changes are material, we will provide notice through the product or another reasonable method.
